However, it’s important to know what you’re doing before trying to repair a faulty copier or printer to avoid additional damage and costly repairs. Here is a list of tips that you can use to handle your printer and copying difficulties safely.

  • Do — Refill Paper Trays and Replace Print Cartridges

Replacing what you’ve used is just common courtesy, but many people seem to make it their mission to avoid performing such trivial tasks — preferring to leave them to someone else to deal with. The thing is, the next person could feel exactly the same way, and before you know that half of the office can’t print because of low ink levels or lack of paper.

  • Do — Let Colleagues Go First with Fewer Documents

While it’s sometimes tricky to negotiate who’s going to print first, it’s worth showing some kindness to your colleagues before you hit print on a massive job.

Printers can be taxed to deal with on a daily basis, with no end of problems growing up to stall the printing process. Jams, errors and faults can happen to the office printer at any time , leaving some inexperienced staff wondering what to do next.

Keep at least one spare ink cartridge or toner cartridge in your workplace. Printing is essential for any workplace, and productivity can drop significantly if you run out of ink and can’t print any more.

If your office printer gets some heavy use, there’s probably always going to be a sheet or two floating around in the outer tray. While it might be tempting to remove them when searching for your own document, don’t. Not only is it frustrating to stand up and walk over to the printer just to find that your printout isn’t there, and to be forced to reprint it, it’s also really wasteful.

Many office workers believe that printing one or two personal documents does not cause any harm, and they are probably right. But take this to another level and start printing your own stuff every day, and your boss will probably have something to say about it.

Some tasks may require a change in the printer settings, but you should never play around with different functions without asking. Not only are office printers expensive pieces of kit, they ‘re easy to get out of sync with a bit of heavy hand tinkering.

Don’t take the frustration out of the printer if it doesn’t print. Yes, it may work on some electrical appliances where you bang it and it works fine, but don’t do it with an office printer because you can cause damage to something that isn’t yours, it’s a work property.
