How Do You Use A Photocopier Machine?

A photocopying machine is one of the most important pieces of equipment in any business. As a business worker, you may be responsible for making hundreds of photocopies on a daily basis. However, you should not be embarrassed if you have no experience with a photocopier. Many people see photocopying machines as large foreign objects. The following is a quick tutorial that will allow you to make copies in less than two minutes:

Turn on the Photocopier

The first step before anything else is to ensure that the power cable of the copier is properly plugged into the power source. Then turn the machine on by pressing the power button. Most of the copiers have a power button on the front of the device, but others on the side. Make sure you press the correct button to avoid putting the machine in sleep mode.

Before proceeding to the next step, it is important to make sure that the paper tray has enough papers in it. The paper tray is located at the bottom of most machines, so make sure you identify one correctly. If there are no papers on the paper tray, fill the paper plate by carefully placing them on the tray. If the paper tray has enough papers, move on to the next step. Please note that most of the copies have delicate paper trays, so it is recommended to handle them with great care and precision.

 Place the Document on the Photocopier

The next phase is an easy part; place your document on the copyer. Most of the copyers have manual instructions printed on the printer. Please read the instructions first before submitting the documents. You’ll notice a glass-like platform covered by a hinged door. Put your document in there. Once the paper has been placed on the glass, close the hinged cover. Be careful that you do not break the glass platform by banging the cover.

Go to the Instructions Menu

The instructional menu is the type of list in which you select the number of copies you want to print from the original document. Most copiers ask the user how many copies they want to print; others ask you to enter the number of copies manually. Once you have selected the number of copies, move to the next step.

Color adjustments

Not all copiers have the color preference option. But there are some who ask you whether you want colored copies or black and white copies. To go to the Color Preferences option, click the menu button, and then go to the Settings button, click the Color Preferences button, then click the ‘Save’ button.

Choose the Paper Size

You will also need to select the paper size after choosing your preferred color. Different trays have different sizes of paper. However, the 8.5 inch A4 size is the most preferred. If you need to print envelopes or any pieces of paper with varying paper sizes, you need to readjust the settings menu button. Advanced photocopiers of individual trays known as by-pass trays, located on the sides of the copier. The paper tray has unique features that you can learn more about in the user’s manual.

Activate the copying process

The active copying process is the last step in which the user has to command the copier to make copies by pressing the ‘Copy’ button. Most photocopying machines have a copy button at the top of the device. Once the copy button has been activated, the photocopier will start printing copies from the tray. However, since the machine is prone to malfunctioning errors, it is advisable to stand in front of the printer just to remove any errors.
